Depending on your organization structure, there will be different people that may need to have administrator permissions: People department, managers, company board, etc.
For this reason Nailted allows you to set different types of permissions and visibility over the organization depending on the necessities of each person. For example, managers regularly only have visibility over their direct reports because of the following reasons:
They can detect problems in their teams through the monitoring of the team mood.
They will understand better the necessity of their teams by consulting the metrics.
They will help People department to understand better if dynamics put in place are having any effect over their teams.
How to add and set up groups visibility access for a new admin
To add and set up a new administrator, follow the steps below:
Go to your ⚙️Settings section and click on Settings. Next, select the Admin users tab.
Click on the Create new user button where you will be required to add the new administrator name, surname, email address and the language in which this person will be using the platform.
💡The new administrator will be created at this point, but not invited to the platform till you finish up setting up their groups visibility access.
You will be redirected to a new page to set up information visibility access. There are two types of information visibility access:
Full access: The user will have full visibility over the information of all the people within the organization.
Limited access: The user will only have visibility over the groups of people that are selected using the Groups visibility dropdown.
On occasions you may not want that an administrator can filter by all the groups he has visibility over, so you can also set up which groups are filtrable using the dropdown that appears under Groups filter.
Next, decide which modules the user will be able to access from the available options:
Messages: This module contains all the feedback messages that are sent. Administrators with full access will see all the incoming messages whereas administrators with limited access will only see the messages sent by the people within the groups over which they have visibility.
⚠️ Nailted has some questions regarding managers, so have into account the maturity of the person over provided feedback before allowing this access.
Reviews & check-ins: This module contains all the reviews and check-ins created on the company. Administrators with full access will see all the reviews & check-ins created whereas administrators with limited access will only see the reviews & checkins in which people from their visible groups have participated.
1:1 meetings: This module allows users to see information about the 1:1 meetings, including notes shared with the company. Administrators with full access will see all the people’s 1:1 meetings information whereas administrators with limited access will only see the information about 1:1 meetings of the people that are part of the groups they have visibility over.
Finally, click on the Invite button to invite the new administrator that will receive a notification to the added email address with the instructions to join Nailted as an administrator.
Can administrator visibility access be changed?
Yes, administrators groups visibility access can be changed at any time by following the next steps:
Go to your ⚙️Settings section and click on Settings. Next, select the Admin users tab and select the administrator you would like to change permissions.
You will be able to change visibility or access to modules permissions:
Change from Full access to Limited access: Click on the Limited access button where two options will appear:
Group visibility: Select the groups that this administrator will be able to see information from.
Group filter: On occasions you may not want that an administrator can filter by all the groups he has visibility over, so you can also set up which groups are filtrable using the dropdown.
Change from Limited access to Full access: Click on the Full access button to provide visibility over all the people with the organization. A confirmation message will appear for you to confirm the action, click on the Confirm button and this administrator will immediately have full visibility over the organization.
Provide or restringe access to modules: By enabling or disabling the green button next to the messages, Reviews & check-ins & 1:1 meetings access will be granted or restringed for the user. The changes performed are saved automatically.
💡Administrators with Limited access will only see the information contained in any of these modules related with the people within their visible groups.
